BoardGameScene - Privacy Statement

This statement sets out the ways in which BoardGameScene complies with the provisions of the General Data Protection Regulation (GDPR). Please note that at the current time Hopwood Games is the owner of BoardGameScene and as such bears responsibility for the correct handling of data. Data collected for BoardGameScene will only be used for BoardGameScene and will be kept separate from, and not be used by, Hopwood Games.

Background

BoardGameScene, promotes the boardgames community in and around Birmingham. In addition, BoardGameScene publishes, and circulates by email, a newsletter. Any individual may sign up to receive the newsletter.

Hopwood Games / BoardGameScene stores and processes individuals’ personal information on the basis of Legitimate Interest.

The information is processed in order to:

• circulate the Boardgamescene newsletter to all those individuals who have opted to receive it.

Hopwood Games / Boardgamescene does not share personal information with any outside organisation.

Access to personal data stored in relation newsletter circulation is restricted to individuals within the organisation who need to be able to be able to send out the emailed newsletter.

Retention period

Information relating to games sales is kept only for accounting purposes, in all other circumstances information is destroyed on request. Information relating to people who have asked to receive the emailed newsletter will be retained until either they ask to be removed from the circulation list or BoardGameScene ceases to produce a newsletter.

Individuals’ rights

Visitors and recipients of the newsletter have a number of rights under GDPR. They may:

• ask to see all information about them held by Hopwood Games. On receipt of such a request, and having verified the identity of the person making the request, Hopwood Games will provide that individual with the requested information without charge

• ask Hopwood Games to correct any errors in their own record of which they become aware. On receipt of such a request, and having verified the identity of the person making the request, Hopwood Games will correct the information at the earliest opportunity

• ask Hopwood Games to delete information that it holds relating to them. On receipt of such a request, and having verified the identity of the person making the request, Hopwood Games will delete the relevant information although it reserves the right to retain information required for specific purposes such as financial record-keeping

• ask Hopwood Games to restrict its processing of their information. In the case of the Hopwood Games this is most likely to be a request to stop sending the newsletter. On receipt of such a request, and having verified the identity of the person making the request, Hopwood Games will apply the requested restriction

• complain to the Information Commissioner’s Office (ICO) if an individual feels that Hopwood Games / BoardGameScene is failing to comply with the GDPR. It would be helpful if any such complaint is addressed to Hopwood Games / BoardGameScene in the first instance but individuals have the right to complain directly to the ICO.
